This covers the OmniRecord account: sign-in, your account and team, and billing for hours. It does not replace the OmniScope Privacy Policy, which covers recordings, transcripts and case material inside OmniScope.

1. Who we are

Advanced Translations Technology, Inc. (DBA OmniRecord), a California corporation ("we", "us"), operates OmniRecord. Our address is 5115 Douglas Fir Rd, Suite L, Calabasas, CA 91302. Privacy questions: privacy@omnirecord.com.

2. What OmniRecord is

OmniRecord is the account you use to sign in to OmniRecord products such as OmniScope. It holds who you are, which teams you belong to, and how a team pays for hours. The products hold your work.

3. Information we collect

  • Account details. Name, email address, and a password. We store the password only as a one-way hash, never in a form we can read.
  • Phone number (optional). If you add one, we store it, whether you have verified it, and your consent to receive text messages.
  • Team details. Team name, mailing address, primary contact, your role in the team, and invitations you send or receive.
  • Sign-in records. The browsers and devices signed in to your account, with the browser type, IP address and last active time, so you can review them and sign one out. We also keep a record of security events such as sign-ins, password changes and role changes.
  • Billing details. Billing name and address, tax exemption status, orders, invoices and credit notes. When you save a card, the card number is entered on our payment processor's page and never reaches our servers. We keep only a token, the card brand, the last four digits and the expiry date.
  • Communications. Emails we send you and messages you send our support team.
  • Cookies. A sign-in session cookie and a cookie that recognizes your device. We do not use advertising cookies on the account.

4. How we use it

To sign you in and keep your account secure; to show your teams and roles to the products you use; to take payment and issue invoices; to send account, security and billing messages; to send one-time codes; to investigate abuse and fraud; to answer support requests; and to meet legal and tax obligations. We do not use your information for advertising.

5. Text messages

If you add a phone number and tick the consent box, we send you sign-in and verification codes by text message from our toll-free number.

  • Consent to receive text messages is not a condition of using OmniRecord or buying anything. You can sign in with an email code or your password instead.
  • Message frequency varies. Message and data rates may apply.
  • Reply STOP to stop texts at any time. Reply HELP for help, or email privacy@omnirecord.com.
  • We do not use your number for marketing and we do not send marketing texts.
  • We do not sell, rent or share phone numbers, or text message consent, with third parties for their marketing. We share your number only with the service providers that deliver the messages for us.

6. Who we share it with

  • Products you use. OmniScope and other OmniRecord products receive your name, email, phone number (if verified) and your team and role, so they can recognize you.
  • Members of your team. A team's owners and admins can see the names, emails and roles of its members, and the team's billing records.
  • Service providers. Amazon Web Services (hosting, email delivery and text message delivery) and Paya, now Nuvei (card and bank payments). They act on our instructions and only for these purposes.
  • Legal and safety. When the law requires it, or to protect the rights, safety and property of our users and us.
  • A sale of the business. If the business or part of it is sold, your information moves with it under this policy.

We do not sell personal information and we do not share it for cross-context behavioral advertising.

7. How long we keep it

We keep account information while your account is active. When an account is closed we delete or de-identify it, except records we must keep for tax, accounting, security and legal reasons, which we keep for as long as those rules require. Billing records are kept for the period tax law requires.

8. Security

Passwords are hashed. Traffic is encrypted in transit. Payment card numbers never touch our servers. Sessions can be reviewed and ended from your account. No system is perfectly secure, and we cannot guarantee it.

9. Your choices and rights

You can view and correct your name, phone number and team details in your account, sign devices out, remove a phone number, and remove saved cards. Depending on where you live, including California and other US states, you may have the right to know what we hold about you, to correct it, to delete it, and not to be discriminated against for asking. We do not sell or share personal information, so there is nothing to opt out of. To make a request, email privacy@omnirecord.com. We may need to verify who you are first. A team's own records (for example an invoice a team needs for its books) may be kept while the team remains a customer.

10. Children

OmniRecord is for professionals and is not directed to anyone under 18. We do not knowingly collect information from children.

11. Changes

We will post changes here and update the date above. If a change is material we will email account holders.
